CONCLAVE NEWSLETTER

SECTION 94/96 CONCLAVE: April 7th, 8th, 9th 2017

Hey people! The following is a condensed version of Nu Alpha’s (Quinnipiac) and Xi Phi’s (University of New Haven) PDF file regarding this year’s conference. I cut down the word count, and reorganized to still have all important information for what makes hopefully a seamless read.

If there is any confusion after reading through, don’t hesitate to reach me at tch2000@wildcats.unh.edu, and I will do my best to clear it up. On the registration page, list myself (Timothy Hoare, 631-353-9602) as your contact person for our chapter/group (UNH Theta Zeta).

 

Weekend events will consist of…

  • Semi-formal (or Disney Costume if feeling festive) themed Banquet

 

NEED TO KNOW

Each person from our chapter who plans on attending Conclave will need to fill out Google form individually to register

  • Contact information

  • Type (Active, Pledge, Staff, Alumnus, or Guest)

  • When you are planning on arriving/leaving Conclave

  • Dietary restrictions

  • Whether you would like to take a LEADS course (Launch, Achieve, and/or Discover)

  • T-shirt size

  • Payment information

Early Registration for Conclave will be $40 per person (covers conference and banquet fees. Early Registration deadline is Monday, March 13. After this date, Late Registration is $45 per person. The Absolute Final date to register is Monday, March 27.

Anyone who registers after this date is not guaranteed a seat at the banquet or a T-shirt. Conference shirts will be available for $8.00 each in sizes S-2XL. Payment will be accepted via cash, checks made out to “Nu Alpha Alpha Phi Omega,” or via the free Square Cash app.

 

REGISTRATION

Online registration for the 2017 Conclave will be an available option. EACH PERSON FROM CHAPTER will need to fill out this Google form if registering online.

Otherwise, payment will be accepted via cash, checks made out to “Nu Alpha Alpha Phi Omega,” or via the free Square Cash app, which accepts credit and debit cards. Unfortunately, Square Cash charges the payment recipient a 2.75% service fee, so Early Registration paid through Square Cash will be $41.10 per person and Late Registration will be $46.25 per person to accommodate this fee.

 

WORKSHOPS

Workshops will offer brothers opportunities to learn about how to improve leadership, fellowship, and service programs within their chapter and talk to other APO brothers about their experiences.

List of workshops is not yet complete, but here’s a sneak peek at a few potential workshops!

  • APO on Your Resume: How can brothers best publicize APO on their resumes and in interviews?

  • Bigs, Littles, and Families: Why are chapter families important, and how can you improve yours?

  • Dating in APO: What is the best way to handle dating within your chapter, and how can you keep a fraternity relationship professional?

  • Dealing with Chapter Drama: How to keep it to a minimum and what to do when tension arises

  • Effective Social Media Use: Ideas and tips for increasing your chapter’s online presence

  • Event Planning: A guide to organizing a conference or other large event for your chapter

  • Retention: What are the best ways to keep brothers involved once they join?

  • Round Tables: Opportunities for casual discussion among past, current, and future Presidents, SVPs, MVPs, FVPs, Pledges, and more!

  • Servant Leadership: What is it, and how can it help your chapter?

 

APO LEADS COURSES

In addition to workshops, there are tentative plans to offer three APO LEADS courses at Conclave: Launch, Achieve and Discover. These courses will be offered on a first come, first serve basis, so sign up early! Please indicate on your registration form if you are interested in attending one or more of these courses. Additionally, these courses may be cancelled if the minimum enrollment is not reached.

 

FELLOWSHIP ACTIVITIES

THE MAD HATTER’S TEA PARTY (Friday evening): Make some new friends while playing board games, competing in a Disney trivia tournament, tie-dyeing your Conclave T-shirt before the conference, participating in small service projects, and singing your heart out with karaoke!

FLORA, FAUNA & MERRYWEATHER’S TIE-DYE A T-SHIRT: Who wants a boring white registration shirt? Why not add a little color and make your shirt unique by joining us to tie-dye our shirts! Feel free to bring your own T-shirt from home in addition to tie-dyeing a Conclave shirt.

24/7 DISNEY MOVIES: What better way to relax after a workshop than by watching a Disney movie? We will have them playing 24/7 for anyone who just wants to relax and have fun!

WHERE’S MICKEY? Team up with some brothers and try to be the first team to find all the Hidden Mickeys across campus!

 

SERVICE ACTIVITIES

“OHANA MEANS FAMILY” PENNY WARS: The APO families in Section 94 and Section 96 are going to face off for penny wars, so start saving up change to help your section win!

“I’M SO HUNGRY I COULD EAT A WHOLE ELEPHANT!” FOOD DRIVE: We are collecting canned goods to donate to the CT Food Bank! The chapter that donates the most canned goods is going to win a prize, so get pumped and bring as many cans as you can hold!

“YOU’LL BE IN MY HEART” LETTERS: Is someone you know (inside or outside your chapter) going through a tough time? Having a birthday? Just did something worth congratulating? Send us an email to nominate them and we’ll have APO brothers make cards to brighten their day and send more love their way!

LADY AND THE TRAMP’S DOG TOYS: Did you know that dog toys can be made from old T- shirts? Pack a few shirts, towels, and other old clothes and help us make toys for a local animal shelter in North Haven, CT!

 

WHAT TO BRING FOR SERVICE AND FELLOWSHIP ACTIVITIES

  • Spare change and dollar bills for Penny Wars

  • Canned goods for a food drive

  • T-shirts for “Make Your Own Letters” and tie-dye

  • Any old T-shirts, clothes, towels, etc. you don’t use anymore to make dog toys

 

BANQUET

The Banquet will be held from 7 p.m. to 11 p.m. on Saturday night (4/8) at Costa Azzurra Restaurant, located at 72 Broadway, Milford, CT 06040. Costa Azzurra is approximately 20 minutes away from University of New Haven. The expected dress will be semi-formal (or Disney costumes if you’re feeling festive).

There will be Disney-themed table games during and after the banquet. The following entrees will be served buffet-style at the banquet with coffee or tea (cake for dessert).

  • Sausage & Peppers in Red Sauce

  • Eggplant Rollatini

  • Filet of Sole Broiled Stuffed with Seafood Stuffing

  • Chicken Marsala

  • Penne Alfredo

  • Green Beans

  • Flank Steak Beef

 

HOUSING INFORMATION

Brothers QU’s Nu Alpha chapter and UNH’s Xi Phi chapter have reserved 20 rooms on Friday night and 20 rooms on Saturday night at two nearby hotels for the weekend of Conclave. Each room has two double beds and the hotels offer free WI-FI, free breakfast, and free parking.

  1. La Quinta Inn and Suites is located at 400 Sargent Drive in New Haven, CT. La Quinta Inn and Suites is approximately nine minutes away from UNH. One room costs $99.00 per night, plus a 15% tax. To reserve a room at this special APO rate, please call the hotel directly at 203-562-1111 or the Group Desk at 1-800-642-4239, Option 1, and ask for the special rate for Alpha Phi Omega (the group booking code is GRMYOI). Reservations must be made by March 17, 2017 to guarantee this special rate.

  2. Hampton Inn is located at 129 Plains Road in Milford, CT. Hampton Inn is approximately 11 minutes away from UNH. One room costs $89.00 per night. To reserve a room at this special APO rate, please visit our customized registration site or call the hotel at 203-874-4400 and book a room(s) under the group name Alpha Phi Omega (the group code is APO). Reservations must be made by March 15, 2017 to guarantee this special rate.

There will also be a student housing option, where Conclave guests can stay with Quinnipiac and New Haven students on Friday and Saturday night. Since we have a limited number of student hosts, you will need to apply for this housing option by Monday, March 13th. It is not guaranteed that everyone who applies will be able to stay with a student host. Please fill out this “Stay with an APO Brother” form to apply.
